What changes when every payday is planned

01

Pay the team on the agreed date

Hours, starters and leavers are checked before payslips go out.

02

Keep the HMRC money untouched

You know the amount to put aside before supplier payments reduce the bank balance.

03

Deal with pension duties as they arise

Assessments and submissions follow the monthly run instead of waiting for another letter.

Where a monthly pay run starts going wrong

Small gaps become expensive decisions once the team expects wages and HMRC expects its payment.

  • Hire

“I added a new cleaner, then found the pension letter after the first payday had already passed.”

The starter missed the normal process. The owner had to rebuild the month while running the rota.

  • Tax

“We paid the team, then used the money that should have covered HMRC for a supplier bill.”

The liability remained due. The next month began with less cash available for wages.

  • Hours

“The rota changed every week, and nobody could tell me whether the payslips matched the hours.”

Corrections took time and staff started questioning their pay.

  • Day 90

What changes once monthly advice is in the room

The pay date stops depending on memory. The pension submission follows the rota and starter information. The HMRC amount stays in its own pot until payment is due.

What clients say

Can’t recommend these guys enough, saved the day when our previous accountant hadn’t been filling properly and we were facing fines. Worth their weight in gold!

Exceptional service. Communication is clear, timely, and consistently accessible. After years of dealing with an accountant who was difficult to reach and overly formal, working with someone this reliable and solution focused has been a significant improvement. Strongly recommend.

I’ve been blown away by the service from Barnaby! My accounts went from being a constant mental burden to something I feel completely under control — all thanks to him. Now I can shift my mental energy to running my business rather than worrying about unexpected tax bills. Barnaby not only stays on top of everything, but also sends me financial reports so I have clarity and always know exactly what’s going on, which has made running my business enjoyable again!

How the first 90 days put paydays in order

Each month removes another point where wages, pensions or HMRC payments can be missed.

Before day one

The current set-up is checked

We check staff details, pay dates, pension duties and who currently submits what.

Day 30

The first clean run is complete

Hours and changes are confirmed, payslips are issued and the required submissions are made.

Day 60

The tax pot matches the bill

You know what must stay aside before wages and supplier bills leave the account.

Day 90

The routine no longer relies on memory

Pay dates, pension work and HMRC duties follow the same agreed monthly process.

Who this monthly service works best for

It suits an established limited company with a team and an ongoing monthly accounting need.

A sole trader below the VAT threshold with no plan to incorporate is unlikely to fit.

A one-off pay run without wider ongoing work is outside the service described here.

We cannot help anyone asking for pay details to be altered or backdated improperly.

The set-up review checks the position before either side commits.

Questions owners ask before handing over staff pay

What does Payroll include in the monthly fee?

The monthly service covers the pay run, payslips, reports to HMRC and auto-enrolment duties within the agreed scope. We also work out what must be kept in the PAYE pot. It sits alongside the wider accounting package on one fixed monthly fee, with software included.

Can Payroll be taken over if we already have an accountant?

Yes. We first check who currently handles staff pay, pensions and HMRC submissions, then agree where responsibility sits. Your accountant can remain in place for the wider accounts if that arrangement works. If the wider work moves too, we contact them directly and handle the handover.

Do we have to move software for monthly staff pay?

Not automatically. We check the system you use, what staff details are held and whether reports can be carried across safely. Cloud accounting software is included in the wider monthly package. Any move is agreed before the first run, so duties do not sit between two systems.

What happens with our current accountant if we switch?

If you move the wider accounting work, onboarding is free and we contact your current accountant directly. We request what is needed, check the opening balances and review the existing books. No catch-up fees apply to the move, subject to the rules agreed when the scope is confirmed.

When does HMRC have to be paid after each pay run?

For electronic payments, PAYE and National Insurance are generally due to reach HMRC by the 22nd after the tax month. We work out the amount and tell you what to keep aside. Your payment frequency can differ in some cases, so the set-up review checks the position.

Is auto-enrolment included for cleaning, care and grounds teams?

Yes, auto-enrolment can be handled as part of the monthly service. We check who must be assessed, prepare the pension submissions and keep the pay run aligned with the scheme. The employer remains responsible for providing accurate staff information and making payments by the relevant deadlines.
